Details are as follows:
TITLE: DVSAC Administrative Assistant
REPORTS TO: DVSAC Executive Director
FUNCTION: The Administrative Assistant supports the organization with clerical duties, communications of all types and materials management to maintain office functioning and support.
Review VIDVSAC emails daily and send them to the appropriate person.
Provides administrative assistance on a daily basis. Satisfactorily resolves all relevant business-related activities or issues.
Maintains a good first impression by being friendly, caring, and helpful to visitors in the office and on the telephone,
Answers multiple telephone lines in a timely manner and directs calls to the appropriate person(s),
Represents the organization through attendance at various events and committees when the director is unavailable
Coordinates all VIDVSAC committee meetings with the program liaison, to include staff meetings, annual staff retreats, workshops, partner conferences, and other events. Prepares corresponding travel arrangements for the director and other attendees,
Coordinates board meetings, and annual retreat, board travel and video meetings for example Zoom, etc.,
Assists program liaison and fiscal grants manager with organizing and implementing the annual conference,
Composes, types, and files VIDVSAC correspondence, reports and articles,
Develops marketing materials, advertisements, monthly newsletters, and brochures. Ensures that all advertisements are submitted in a timely manner and with the correct run dates. Assists the Media committee chairperson in developing or implementing relevant materials,
Maintains the website daily by updating the calendar and making suggestions for expanding the site,
Create and Update Monthly Newsletter,
Compile the demographics from the outreach specialist reports to file with the grant reports,
Physical: Office environment.
Social: Ability to work with a diverse group of individuals and to maintain client confidentiality.
Operation of general office equipment, such as copier and fax machines.
Computer proficiency in Microsoft applications.
Maintain contact with VIDVSAC Executive Director.
Maintain ongoing contact with administrative staff and Board of Directors.
Full-time, Non-Exempt Position
The successful candidate will be a self-motivated, goal and team-oriented individual who will appreciate and thrive in a socially progressive environment. Qualifications include:
A minimum of two (2) years of related experience. Knowledge of non-profit and social services work a plus,
Bachelor's degree in public administration or a business degree,
Excellent writing skills and understanding of style and techniques for a wide variety of written materials including publications, newsletters, proposals, news releases, and memoranda,
Excellent interpersonal and organizational skills,
Committed to and passionate about creating a workplace and community free from sexism, racism, homophobia, and all other oppressions,
Familiarity with domestic violence and sexual assault issues, sensitivity to multi-cultural communities, non-judgmental attitude, and familiarity with Virgin Islands culture, community, and geography,
Ability to work in diverse environment as a member of a strong team.
Computer skills are essential, experience with Microsoft Word, Access, Excel, and PowerPoint preferred. Desktop publishing and web development knowledge is a plus. The ability to work beyond traditional business hours may be required.
